Customer Service and Administrative Coordinator

We are seeking a detail-oriented individual to join our team as a Customer Service and Administrative Coordinator at PermitMasters. This role plays a crucial part in managing communication channels, responding to inquiries, and supporting various administrative tasks to ensure the smooth operation of our business.
Salary:
The estimated annual salary for this position is $65,000-$75,000 depending on location and experience.
Job Description:Key Responsibilities:
- Communication Management:
- Manage phone calls and company emails effectively.
- Respond to daily requests from homeowners and industry members, providing accurate information, addressing concerns, and maintaining a high level of customer satisfaction.
- Sales Support:
- Assist in preparing estimated service proposals based on customer requirements and company pricing guidelines.
- Manage follow-ups with potential clients to nurture leads, address questions, and convert opportunities into sales.
- Update and maintain contracts, ensuring accuracy and compliance with company policies and legal requirements.
- Document relevant information and contacts in the Customer Relationship Management (CRM) system for effective tracking and communication.
- Product Knowledge and Communication:
- Be an expert in our services and effectively communicate their value proposition to clients.
- Demonstrate how our offerings meet the specific needs of clients.
- Marketing and Social Media:
- Collaborate with the marketing team to assist in the development and execution of comprehensive marketing and advertising strategies.
- Assist in managing social media campaigns across various platforms, ensuring consistency with brand messaging and strategic objectives.
- Financial Responsibilities:
- Take the lead in creating accurate and timely invoices for our clients, ensuring adherence to billing cycles and payment terms. Coordinate payment processes to facilitate seamless and timely transactions.
- Create invoices and coordinate payments.
- Contribute to maintaining organized and up-to-date financial records. Support bookkeeping procedures, including recording transactions.
- Administrative Support:
- Support company operations by maintaining office systems.
- Ensure the proper functioning of the office and assist colleagues whenever necessary.
Required Skills and Qualifications:
- Proven experience in customer relations and administrative roles.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Familiarity with Customer Relationship Management (CRM) systems.
- Knowledge of basic accounting principles.
- Knowledge of building code, zoning, and construction is an asset.
- Ability to work independently and collaboratively in a team environment.
