About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Infinity Wealth Solutions Inc. as an Administrative Coordinator.

Key Responsibilities
  • Event Planning: Coordinate and arrange seminars, conferences, and other events to support our business objectives.
  • Minute Taking: Record and prepare minutes of meetings, seminars, and conferences to ensure accurate documentation.
  • Office Procedures: Develop and implement efficient office procedures and routines to enhance productivity.
  • Scheduling: Schedule and confirm appointments, meetings, and travel arrangements to ensure smooth operations.
  • Communication: Answer telephone calls, relay messages, and respond to electronic enquiries in a professional and timely manner.
  • Supply Management: Order office supplies and maintain inventory to ensure a well-stocked and organized workspace.
  • Travel Arrangements: Arrange travel, itineraries, and make reservations to support business needs.
  • Customer Service: Provide exceptional customer service to internal and external clients, responding to their inquiries and concerns.
  • Data Entry: Perform data entry tasks to maintain accurate and up-to-date records.
  • Bookkeeping: Assist with basic bookkeeping tasks to support financial operations.

Requirements
  • Education: College, CEGEP, or other non-university certificate or diploma from a program of 1 year to 2 years.
  • Experience: 1 year to less than 2 years of experience in an administrative role.
  • Language: Fluency in English.
  • Work Environment: Fast-paced environment with tight deadlines and a large workload.
  • Personal Suitability: Excellent oral and written communication skills, flexibility, organization, reliability, and efficient interpersonal skills.
