Position Overview:

We are seeking a highly organized and tech-savvy Real Estate Administrative Manager to join our team at The HR Pro. This role is crucial in ensuring smooth daily operations, efficient on-boarding of agents, and seamless administrative support to maintain the highest level of client satisfaction.

Key Responsibilities:

Administrative Support:

  • Oversee day-to-day office operations of the brokerage, ensuring efficiency and organization.
  • Manage phone calls, emails, and correspondence on behalf of the leadership team.
  • Prepare real estate documents such as agreements, listings, contracts, and reports.
  • Maintain and organize digital and physical files using tech solutions for streamlined processes.
  • Support with the creation of checklists and SOPs for daily operations.

Agent On-boarding:

  • Lead the onboarding process for new agents, including orientation, training, and setting up tech tools.
  • Ensure all agents have access to tech platforms, social media resources, and CRM systems.
  • Provide ongoing support for new agents as they familiarize themselves with the brokerage's systems.
  • Lead, mentor and develop a team of licensed agents and brokers to achieve their professional goals.
  • Conduct regular performance reviews and provide constructive feedback to transacting agents/brokers.

Client Care:

  • Promote a Client focused culture
  • Address client inquiries and concerns promptly and effectively.
  • Maintain the highest standards of client care in the business.

Office Management:

  • Order office supplies, manage vendor relationships, and ensure the office environment is clean and welcoming.
  • Coordinate office events, agent meetings, and training sessions with industry professionals.
  • Identify and pursue new business opportunities to expand the brokerage's client base.
  • Foster relationships with key stakeholders including realtors, industry professionals and vendors.

Compliance & Documentation:

  • Ensure compliance with all legal and regulatory requirements for the brokerage.
  • Monitor deadlines, renewals, and updates for licenses and certifications.

Team Collaboration:

  • Act as a liaison between leadership, agents, and external parties such as vendors, clients, and contractors.
  • Ensure clear communication among the team and streamline workflow for maximum efficiency.
  • Handle disputes with professionalism and efficiency.

Qualifications:

  • Proven experience in real estate administration or management.
  • Strong organizational skills with attention to detail.
  • Tech-savvy, with experience in real estate platforms (CRM, MLS, DocuSign) and social media.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Knowledge of real estate transactions, documentation, and compliance.

Preferred Skills:

  • Familiarity with real estate portals (MLS, LoneWolf, etc)
  • Experience supporting agent on-boarding and training.
