Job Summary

We are seeking a highly organized and detail-oriented Legal Assistant to join our team at Linds & Associates. As a key member of our litigation team, you will provide administrative support to our lawyers and contribute to the success of our clients.

Key Responsibilities
  • Assist lawyers with the management of their files, including preparing documents, transcribing dictation, and organizing office files.
  • Proactively prepare documents to meet upcoming deadlines, ensuring accuracy and attention to detail.
  • Transcribe technical and confidential dictation, maintaining confidentiality and discretion.
  • Organize and expedite the flow of work through the lawyer's office, initiating follow-up action as required.
  • Compose routine letters and memos from general instruction, ensuring clarity and professionalism.
  • Route or answer routine correspondence not requiring the lawyer's attention, initiating follow-up action as needed.
  • Maintain Amicus Attorney calendar, ensuring lawyers are kept abreast of upcoming appointments, meetings, and court filings.
  • Properly file emails received for lawyers, maintaining a organized and efficient workflow.
  • Handle administrative details related to accounting, opening and closing files, docketing, billing, and other tasks as specifically directed by lawyers.
  • Prepare special reports, gathering and summarizing data to provide valuable insights.
  • Liaise between lawyers and various internal and external individuals, groups, and clients at all levels, maintaining effective communication.
  • Abide by Firm policies, including the policy on confidentiality, upholding the highest standards of professionalism.
Requirements
  • Education: College diploma in legal assistant studies.
  • Experience: Minimum of 2 years' experience as a legal assistant working within Insurance Defence Litigation.
  • Core Competencies:
    • Knowledge of the Rules of Civil Procedure and up-to-date with recent changes.
    • Proficiency with computers, including MS Office 365, E-Copy, Amicus Attorney, PCLaw, and other relevant software.
    • Excellent verbal and written communication skills.
    • Organized and meticulous with follow-up and attention to detail.
    • Time management skills with the ability to work under pressure to meet multiple deadlines.
    • Ability to work independently, be proactive, and show initiative.
    • Flexible team player who is client service oriented.
    • Thorough understanding of litigation legal documentation.
