About the Role

We are seeking a highly organized and detail-oriented Office Administrator to join our team at Staff Now Inc. As an Office Administrator, you will be responsible for providing administrative support to our staff and ensuring the smooth operation of our office.

Key Responsibilities
  • Administrative Support
    • Provide administrative assistance to our staff, including answering phone calls, responding to emails, and preparing correspondence.
    • Manage and maintain accurate records and files, both physical and digital.
    • Coordinate travel arrangements and prepare itineraries for staff members.
  • Office Management
    • Oversee the day-to-day operations of the office, including managing supplies, equipment, and facilities.
    • Ensure the office is well-organized and maintained, including cleaning and maintenance tasks.
    • Coordinate with vendors and suppliers to ensure timely delivery of goods and services.
  • Financial Management
    • Assist with budgeting and financial planning, including preparing financial reports and statements.
    • Manage and reconcile office expenses, including invoices and receipts.
    • Coordinate with accounting staff to ensure accurate and timely financial reporting.
  • Human Resources
    • Assist with recruitment and hiring processes, including preparing job postings and conducting interviews.
    • Manage employee onboarding and offboarding processes, including preparing necessary documents and paperwork.
    • Coordinate with HR staff to ensure compliance with company policies and procedures.
  • Communication
    • Develop and maintain effective communication channels with staff, including regular meetings and updates.
    • Prepare and distribute company-wide communications, including newsletters and announcements.
    • Coordinate with marketing staff to ensure consistent branding and messaging.
Requirements
  • Education
    • Secondary (high) school graduation certificate
  • Experience
    • 1 to less than 7 months
  • Skills
    • Excellent communication and interpersonal skills
    • Strong organizational and time management skills
    • Ability to work in a fast-paced environment
    • Proficiency in Microsoft Office, including Excel, Word, and PowerPoint
    • Experience with data entry and record-keeping
