About the Role

We are seeking an experienced Executive Assistant and Project Coordinator to provide administrative support and coordination for academic processes in the Department of Physics. The successful candidate will serve as a key point of contact between the department and the Faculty of Arts and Science Academic Human Resources.

Key Responsibilities
  • Administer academic search activities, ensuring compliance with established standards
  • Coordinate tasks for projects and other strategic initiatives with stakeholders
  • Develop and implement communication materials, organize events, and build relationships with stakeholders
  • Provide administrative support to committees, including scheduling, drafting agendas, minute-taking, and coordination of associated materials
  • Ensure follow-up on action items and maintain accurate records
Requirements
  • Advanced College Diploma in Business Administration, Communication, or related field
  • Minimum three years' relevant experience in executive assistant and project coordination, preferably in an academic or research-intensive institution
  • Excellent organizational, analytical, and time management skills, with superior ability to oversee a busy schedule and manage competing deadlines
  • Advanced computer skills, including Microsoft Office, OneDrive, and SharePoint
  • Excellent oral and written communication skills, with ability to exercise discretion and professionalism in handling sensitive and confidential information

  • Experience with project management tools, document design, and event planning
  • Knowledge of web page content management
