Job Opportunity:

Aecon is seeking an experienced Executive Assistant to provide administrative support to the management team in the construction industry.

Key Responsibilities:

  • Provide administrative correspondence and documentation for construction project management
  • Prepare and submit monthly progress reports
  • Assist in the preparation of executive committee minutes and follow-up on actions
  • Organize and manage meetings and agendas for the Project Director
  • Support the project management team in developing tender documents
  • Ensure timely collection and submission of necessary forms and documents
  • Produce contract award letters and submit subcontracting reviews
  • Document and maintain the process of calls for tenders
  • Produce minutes of management meetings and contracts for subcontracting lots
  • Ensure all necessary documents are obtained for cheque handovers
  • Maintain records, employee lists, and organizational charts
  • Manage access requests, office supplies, and procurement
  • Manage signature requests and related tasks

Requirements:

  • Diploma or technical degree in administration or secretarial work
  • 5-7 years of experience in a similar position
  • Knowledge of the construction industry is an asset
  • Proficiency in Microsoft Office software
  • Knowledge of project management software is an asset
  • Rigorous and meticulous with great versatility and initiative
  • Excellent communication and collaboration skills
  • Positive attitude, leadership, and proactive approach
  • Flexibility with schedule and ability to work under pressure
