Key Responsibilities:

  • Screen and respond to various communications on behalf of the service team, exercising independent judgment when necessary.
  • Prepare and maintain accurate documentation, including emails, memos, and reports, in both hard copy and electronic formats.
  • Arrange meetings, appointments, and room bookings, as well as coordinate logistics for events and activities.
  • Provide transportation services for clients to attend appointments and other events.
  • Ensure the maintenance, distribution, and archiving of client service policies and procedures, adhering to the agency's records management policies.
  • Maintain up-to-date client records and documents.
  • Provide support to the Executive Assistant and Reception as needed.
  • Participate in internal committees and work teams as required.
  • Assist in investigations of child abuse and maltreatment allegations, including conducting thorough records checks.

Requirements:

  • A post-secondary diploma in a relevant field, such as social service work or office administration, or equivalent experience in a human services environment.
  • 1-3 years of experience in office administration, with progressively responsible administrative duties.
  • A clear Criminal Record Check with Vulnerable Sector Screening.
  • Proficiency in a native language is considered an asset.
  • Excellent planning, organizational, and administrative skills are required.
  • Strong interpersonal and communication skills are necessary for liaising with internal and external contacts.
  • A valid Ontario driver's license, willingness to travel, and flexibility to work independently and on-call are required.
