The Role

We are seeking a highly motivated Business Development Administrator for our Edmonton branch on a 6-month part-time contract (20 hours/week). As a key member of our team, you will provide administrative support to various teams, contribute to committees, and help foster a positive work environment.

A Day in the Life:
  • You will greet visitors and manage the Long View lobby, creating a lasting impression of our organization.
  • You will process mail and courier tasks, ensuring timely and efficient communication.
  • As administrative support for the Edmonton branch VP, you will handle correspondence, meetings, and other tasks.
  • You will co-chair the HSE Committee, conducting internal audits and inspections to maintain a safe working environment.
  • You will also co-chair the social committee, planning and coordinating events that promote team building and camaraderie.
  • Your responsibilities will include creating branch communication materials, such as marketing collateral for office and client events.
  • You will assist with new hire onboarding, ensuring a smooth transition for our new team members.
  • You will coordinate meetings, booking rooms, ordering catering, managing sign-in sheets, and setting up hoteling stations.
  • You will be the primary point of contact for Corporate Services phone and inbox inquiries, responding promptly and professionally.
  • You will order gift cards and manage office supplies, maintaining a well-stocked inventory.
  • You will maintain the tidiness and cleanliness of kitchen and boardrooms throughout the day.
  • You will serve as the vendor liaison for all office-related maintenance, including supplies, HSE items, and custodial services.
  • You will order and manage office and coffee supplies inventory.
  • You will reconcile monthly credit card statements and generate expense reports.
  • You will process timesheets and invoices for weekly financial batches.
  • You will streamline and maintain invoice creation and validation processes.
  • You will assist in processing and sending invoices, attaching backup documentation when required.
  • You will contribute to project reporting and review for accuracy.
  • You will update sales CLM, documentation reviews, and filing, as well as other sales coordinator-related duties.
Requirements:
  • Minimum 2 years' experience in a coordinator or corporate services position.
  • Certificate in Business Administration, Accounting Assistant, or equivalent is an asset.
  • Excellent interpersonal and communication skills, with a focus on customer service and relationships.
  • Experience in event planning and coordination.
  • Proficient in Microsoft Office, Teams, and CRM.
