Job Overview

Reports to: Manager, Planning and Administration

Shift: 5 x 2 – EDO eligible

Term: 16 month fixed-term contract

Location: Sparwood, BC

Relocation: This position does not offer relocation

Key Job Responsibilities
  1. Provide professional reception services to visitors, directing and instructing them as necessary.
  2. Ensure visitors are announced to the appropriate office staff and their wait time is minimized.
  3. Manage incoming telephone calls, redirecting where required, answering inquiries, and taking messages for all office staff as appropriate.
  4. Maintain security access on premises during normal working hours, enforcing the use of the visitor sign-in kiosk and ensuring all personnel within the office are authorized and accounted for.
  5. Update and distribute internal telephone directories, including numbers for office staff cellular phones, extensions, etc.
  6. Retrieve and distribute mail daily to the appropriate office staff members.
  7. Responsible for gathering, addressing, and sending courier packages for delivery as required.
  8. Order and control all office stationery products.
  9. Administer the company fleet program, including making driver changes or unit updates, creating quarterly summary spreadsheets, and handling other requests.
  10. Assist new hires with completing the new hire package.
  11. Administer coveralls, handling ordering and cancelling service for employees and fielding concerns.
  12. Contribute to the team effort by completing other administrative tasks as directed by the Regional Manager.
Qualifications/Requirements
  1. Graduate from a recognized office administration program or an equivalent combination of education, training, and experience.
  2. Proficiency in administrative services with 3 to 5 years of work experience as an administrative assistant.
  3. General experience in an office environment is required; experience working in a project environment is considered an asset.
  4. Safety-oriented.
  5. Strong interpersonal skills and the ability to interact and communicate with team members having a variety of backgrounds.
  6. Demonstrated competency in Microsoft Office Applications.
  7. SAP knowledge is considered an asset.
  8. Able to act independently and take a proactive approach to tasks.
  9. Strong communication and organizational skills.
  10. Able to produce information that is accurate, well-laid out, and within a reasonable period.
  11. Able to adapt and react to a fast-paced, ever-changing environment.
