Job Overview

Reports to: Manager, Planning and Administration

Shift: 5 x 2 – EDO eligible

Term: 16 month fixed-term contract

Location: BC

Relocation: This position does not offer relocation

Key Job Responsibilities

  • Greet visitors in a professional manner and direct them as necessary
  • Ensure visitors are announced to the appropriate office staff and their wait time is kept to a minimum
  • Field incoming telephone calls and re-direct where required, answer inquiries and take messages for all office staff as appropriate
  • Maintain security access on premises during normal working hours; enforcing use of the visitor sign in kiosk and ensuring all personnel within the office are authorized and accounted for
  • Maintain up to date internal telephone directories, including numbers for office staff cellular phones, extensions, etc. and distribute on a regular basis to all office staff members
  • Retrieve the mail daily and distribute it to the appropriate office staff members as necessary
  • Responsible to ensure that all courier packages are gathered, addressed, and sent for delivery as required
  • Responsible for the ordering/purchasing and control of all office stationery products
  • Responsible for creating purchase requisitions for yearly frameworks in SAP, as well as any others required throughout the year
  • Administer the company fleet program, including making any driver changes or unit updates required, creating quarterly summary spreadsheet, and handling any other requests that may arise
  • Help new hires with completing the new hire package
  • Administer coveralls, handling ordering and cancelling service for employees and fielding any concerns that may arise
  • Contribute to team effort by completing other administrative tasks such as assisting in the sorting of documents and/or company swag for distribution staff, photocopying, document handling or other tasks as directed from time to time as required by the Regional Manager

Qualifications/Requirements

  • Graduate from a recognized office administration program or an equivalent combination of education, training and experience
  • Proficiency in administrative services with 3 to 5 years of work experience as an administrative assistant
  • General experience in an office environment is required; with experience working in a project environment would be considered an asset
  • Safety oriented
  • Strong interpersonal skills and the ability to interact and communicate with other team members having a variety of backgrounds
  • Demonstrated competency in Microsoft Office Applications
  • SAP knowledge would be considered an asset
  • Able to act independently and take a proactive approach to tasks
  • Strong communication and organizational skills
  • Able to produce information that is accurate, well laid out, within a reasonable period
  • Be able to adapt and react to a fast-paced ever-changing environment
