Job Overview

Reports to: Manager, Planning and Administration

Shift: 5 x 2 – EDO eligible

Term: 16 month fixed-term contract

Location: Sparwood, BC

Relocation: This position does not offer relocation

Key Job Responsibilities
  1. Provide exceptional customer service by greeting visitors in a professional manner and directing them to the appropriate staff member.
  2. Ensure visitors are announced to the office staff and their wait time is minimized.
  3. Manage incoming telephone calls, redirecting them as necessary, and take messages for office staff as required.
  4. Maintain security access on premises during working hours, enforcing the use of the visitor sign-in kiosk and ensuring all personnel are authorized and accounted for.
  5. Update and distribute internal telephone directories, including numbers for office staff cellular phones and extensions.
  6. Retrieve and distribute mail to office staff members as needed.
  7. Coordinate the collection, addressing, and delivery of courier packages.
  8. Oversee the ordering and control of office stationery products.
  9. Administer the company fleet program, including driver changes, unit updates, and quarterly summary spreadsheets.
  10. Assist new hires with completing the new hire package.
  11. Manage coveralls, handling ordering and cancelling service for employees and addressing any concerns.
  12. Contribute to the team effort by completing administrative tasks, such as document sorting, company swag distribution, photocopying, and document handling.
Qualifications/Requirements
  1. Graduate from a recognized office administration program or equivalent combination of education, training, and experience.
  2. Proficiency in administrative services with 3 to 5 years of work experience as an administrative assistant.
  3. General experience in an office environment, with experience working in a project environment considered an asset.
  4. Safety-oriented.
  5. Strong interpersonal skills and ability to interact with team members from diverse backgrounds.
  6. Demonstrated competency in Microsoft Office Applications.
  7. SAP knowledge considered an asset.
  8. Able to work independently and take a proactive approach to tasks.
  9. Strong communication and organizational skills.
  10. Able to produce accurate and well-organized information within a reasonable timeframe.
  11. Adaptable and able to react to a fast-paced, ever-changing environment.
