Location: Sparwood, BC
Relocation: This position does not offer relocation
Key Job Responsibilities- Provide professional reception services to visitors, directing and instructing them as necessary
- Ensure visitors are announced to the appropriate office staff and their wait time is kept to a minimum
- Manage incoming telephone calls, re-directing where required, and answer inquiries and take messages for all office staff as appropriate
- Maintain security access on premises during normal working hours, enforcing the use of the visitor sign in kiosk and ensuring all personnel within the office are authorized and accounted for
- Update and distribute internal telephone directories, including numbers for office staff cellular phones, extensions, etc.
- Retrieve and distribute mail to the appropriate office staff members as necessary
- Responsible for gathering, addressing, and sending courier packages for delivery as required
- Order and control all office stationery products
- Administer the company fleet program, including making driver changes or unit updates required, creating quarterly summary spreadsheets, and handling other requests
- Assist new hires with completing the new hire package
- Administer coveralls, handling ordering and cancelling service for employees and fielding concerns
- Contribute to team effort by completing other administrative tasks as directed by the Regional Manager
- Graduate from a recognized office administration program or an equivalent combination of education, training, and experience
- Proficiency in administrative services with 3 to 5 years of work experience as an administrative assistant
- General experience in an office environment is required; experience working in a project environment would be considered an asset
- Safety oriented
- Strong interpersonal skills and the ability to interact and communicate with other team members having a variety of backgrounds
- Demonstrated competency in Microsoft Office Applications
- SAP knowledge would be considered an asset
- Able to act independently and take a proactive approach to tasks
- Strong communication and organizational skills
- Able to produce information that is accurate, well laid out, within a reasonable period
- Be able to adapt and react to a fast-paced ever-changing environment
