Our team in Canada is growing, and we are currently seeking a highly motivated Front Office Coordinator to join our Vancouver office. This role will play a crucial part in maintaining a seamless day-to-day operation and ensuring an exceptional employee experience.

Responsibilities:
  • Front Desk Reception
    • Provide phone coverage when the General Reception is unavailable
    • Manage visitor arrivals, vendors, deliveries, and other visitors
    • Maintain the reception area according to the Pender Office Manual standards
    • Coordinate building access records and fob distribution/collection
    • Monitor and direct reception emails when the General Reception is absent
  • Office Maintenance and Appearance
    • Conduct daily walk-throughs and checklists based on the Pender Office Manual
    • Ensure boardrooms are ready for use
    • Update relevant signage following the Signage Standards in the North American Facilities Manual
    • Manage vendor relationships, including coffee suppliers, ordering, and servicing equipment
    • Process vendor invoices for the Pender Office
  • Administrative Tasks
    • Prepare weekly reports
    • Procure office supplies
    • Update the Office Manual monthly
    • Coordinate courier deliveries and pick-ups
    • Communicate with building management regarding maintenance, parking, cleaning, and janitorial/maintenance ticket completion
  • Supply Chain and Procurement Management
    • Create purchase orders (POs) in Oracle
    • Refill printers and manage office supplies as needed
  • Health and Safety Management
    • Coordinate monthly Health and Safety walkthroughs and submit checklists promptly
    • Conduct daily safety checks and implement necessary changes
