Job Summary
Culture Link, a settlement and community organization with 35 years of experience, is seeking an Administrative Assistant to support the Settlement Workers in Schools (SWIS) program. SWIS provides needs assessment, referrals, follow-up support to clients, and group sessions to newcomer families and youth.

This is a bargaining unit position that requires collaboration with colleagues and external partners to achieve program objectives. The ideal candidate will be proficient in Microsoft Office and online tools, have strong communication skills, and be able to adapt to changing situations.

Key Responsibilities
- Provide administrative assistance to the SWIS Program
- Establish and maintain positive working relationships with the SWIS team
- Provide technical support to front-line staff as needed
- Create and modify SWIS documents such as reports, letters, and surveys
- Implement electronic evaluation and stakeholder surveys
- Maintain accurate records and databases
- Assist with creation of SWIS materials such as fliers, brochures, and posters
- Take minutes of SWIS meetings and advance room bookings for trainings/events
- Update the SWIS team schedule and school service list as needed
- Process invoices from suppliers
- Order and maintain SWIS office supplies, advising management of needs
- Maintain up-to-date inventory of SWIS equipment
- Prepare laptops for IT support as needed, basic technical problem solving as required

Requirements
- Diploma or degree in Business Administration or another related field, or a combination of education and experience
- One year of work experience in a community services or business setting
- Satisfactory Vulnerable Sector Screening within the past six months
- OCMS and i CARE experience considered an asset
- Fluency in languages other than English is an asset
- Strong oral and written communication skills in English
