Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to provide administrative support to the Director/Associate Director. The successful candidate will be responsible for providing a wide range of administrative, clerical, and financial support services, including scheduling tasks, deadlines, and milestones for project stakeholders, and administering and monitoring resources related to assigned projects.

Key Responsibilities
  1. Provide administrative support to the Director/Associate Director, including organizing workflow, resolving day-to-day problems, and handling sensitive material.
  2. Schedule appointments, arrange meetings, and prepare agendas and agenda packages.
  3. Take minutes and distribute to relevant parties, and participate in the development of project policies and procedures.
  4. Research, recommend, and produce reports, statistics, spreadsheets, and charts.
  5. Act as a liaison between the Director/Associate Director and the Provost's office, faculty, staff, and external agencies, clients, and/or contractors.
  6. Perform secretarial duties, including receiving and screening incoming calls and materials, prioritizing items for the attention of the Director/Associate Director, and word processing correspondence, contracts, and agreements.
  7. Maintain a variety of records and files, including confidential and/or sensitive material.
Requirements
  • Undergraduate degree in a related discipline.
  • Five years related administrative experience.
  • Demonstrated ability to communicate effectively both verbally and in writing to a variety of audiences.
  • Advanced knowledge of MS-Office (Word, Excel, and PowerPoint).
  • Ability to accurately perform electronic word processing at a minimum 60 wpm.
  • Proven ability to take and transcribe minutes and correspondence at 70 verbal wpm.
  • Ability to deal with staff, students, colleagues, and external vendors with courtesy, discretion, and tact.
  • Ability to exercise considerable independent action.
  • Ability to plan, organize, and prioritize work while managing multiple, diverse, and competing priorities and schedules to meet deadlines.
  • Ability to handle confidential documents with discretion.
  • Ability to maintain attention to detail.
  • Ability to operate related equipment such as photocopiers, fax machines, and audio-visual equipment.
  • Ability to deal courteously and tactfully with staff, students, and members of the general public.
Working Conditions
  • Sitting at a desk and computer for long periods of time.
  • General office conditions.
  • Ability to lift weights in excess of 10 kg.
  • Local travel required.
