What is the Opportunity?

The Royal Bank of Canada's Family Office Services division is seeking a highly skilled and organized Administrative Coordinator to provide support to our Financial Planning Specialists, Wealth Management Consultants, and Business Owners. As a key member of our team, you will play a vital role in ensuring the smooth operation of our day-to-day activities, allowing our specialists to focus on delivering exceptional client service.

Key Responsibilities:

  • Oversee the efficiency of our operations, ensuring seamless execution of tasks and projects.
  • Manage administrative duties, including printing, packaging, and mailing of client reports, as well as maintaining accurate records and files.
  • Coordinate specialist calendars, meeting materials, and travel arrangements, ensuring timely and effective communication.
  • Prepare and submit monthly expense reports, maintaining accurate financial records.
  • Source and procure equipment and supplies, ensuring optimal functionality and efficiency.
  • Assist with preparations for business seminars, special events, and client meetings, ensuring a professional and polished presentation.

Requirements:

  • Minimum of two years of experience in a similar administrative role within the financial industry.
  • Strong working knowledge of Microsoft Office, with proficiency in Word, Excel, and PowerPoint.
  • Excellent written, verbal, and electronic communication skills, with the ability to effectively interact with colleagues, clients, and stakeholders.
  • Self-motivated and able to work with minimal supervision, with a strong attention to detail and ability to prioritize tasks.
  • Ability to work effectively in a team environment, with a strong focus on collaboration and teamwork.
  • Ability to work under pressure to meet deadlines, with a strong sense of urgency and commitment to excellence.
  • Bilingualism (English and French) is required, as you will regularly interact with RBC partners and employees across Canada with English and French speaking needs.

Preferred Qualifications:

  • IFIC certification.
  • CSC certification.
