Job Summary:
RBC Family Office Services is seeking a highly organized and detail-oriented Regional Administration Coordinator to provide support to our Financial Planning Specialists, Will and Estate Consultants, and Business Owner – High Net Worth Planning Services Specialists. As a key member of our team, you will play a crucial role in enabling our specialists to focus on delivering exceptional client service.
Key Responsibilities:
- Oversee the efficiency of day-to-day operations to ensure seamless delivery of services
- Fulfill administrative duties, including printing, packaging, and mailing of client reports
- Manage specialist calendars and meeting materials to ensure timely and effective communication
- Complete monthly expense reports to maintain accurate financial records
- Maintain and order equipment and supplies to ensure a well-stocked and efficient workspace
- Manage files and records, and complete travel arrangements to support business needs
- Assist with preparations for business seminars and special events to promote client engagement
Requirements:
- Minimum of two years of experience in a similar position in the financial industry
- Strong working knowledge of Microsoft Office to effectively manage administrative tasks
- Effective written, verbal, and electronic communication skills to interact with colleagues and clients
- Self-motivated and able to work with minimal supervision to prioritize tasks and meet deadlines
- Ability to work effectively with others and be perceived as a team player to foster a collaborative work environment
- Ability to work under pressure to meet deadlines and maintain accuracy in administrative tasks
- Good attention to detail and strong time management skills to prioritize tasks and manage workload
- Bilingualism (English and French) required to effectively communicate with RBC partners and employees across Canada
