Executive Assistant to the Dean of Administration

Northumberland College is seeking a highly skilled and organized Executive Assistant to join our administrative team. This dynamic individual will provide exceptional support to the Dean of Administration, ensuring seamless day-to-day operations and contributing to the overall success of the college.
Key Responsibilities- Implement new administrative procedures and protocols to enhance efficiency and productivity.
- Review and evaluate existing procedures to identify areas for improvement and recommend changes as needed.
- Delegate tasks and workload to office support staff, providing clear guidance and direction to ensure successful completion of projects.
- Establish work priorities and ensure procedures are followed, deadlines are met, and goals are achieved.
- Administer policies and procedures related to record management, including processing requests under government access to information and privacy legislation.
- Coordinate and plan office services such as accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance, and security services.
- Assist in the preparation of operating budgets and maintain inventory and budgetary controls.
- Assemble data and prepare periodic and special reports, manuals, and correspondence.
- Perform data entry and maintain accurate records.
- Oversee and coordinate office administrative procedures, ensuring compliance with college policies and procedures.
- Resolve conflict situations in a fair and professional manner.
- Oversee payroll administration and ensure timely payment of employee salaries.
- Plan and control budget and expenditures, ensuring efficient use of resources.
The Executive Assistant will supervise a team of 3-4 individuals, providing guidance, support, and mentorship to ensure their success and growth within the role.
Computer and Technology Knowledge- Proficient in MS Excel, Word, Outlook, PowerPoint, and Windows.
- Ability to work in a fast-paced environment with tight deadlines.
- Excellent attention to detail and organizational skills.
- Ability to multitask and prioritize tasks effectively.
- Exceptional interpersonal and communication skills.
- Flexibility and adaptability in a rapidly changing environment.
- Reliability and trustworthiness in handling confidential information.
The salary range for this position is $55,000 - $65,000 per year, depending on experience and qualifications. In addition to a competitive salary, the college offers a comprehensive benefits package, including medical, dental, and vision coverage, as well as a pension plan and generous vacation time.
