Job Summary

We are seeking an experienced Administrative Operations Manager to join our team. The successful candidate will be responsible for overseeing daily operational activities, providing administrative support to the Director(s) of Operations, and coordinating various tasks to ensure seamless workflow across departments.

Key Responsibilities:
  • Scheduling and Communication Functions: Assist the Director(s) of Operations with scheduling and communication duties, attending meetings on their behalf when required.
  • Expense Reporting: Compile and submit expense reports for the Director(s).
  • Administrative Support: Provide administrative assistance to Project Managers, Field Managers/Site Supervisors, and Project Coordinators as needed.
  • Project Management: Assist with the preparation of project quotations, invoices, and closeout documentation.
  • IT Support: Collaborate with the IT department to provide technical support to the Director(s), as required.
  • Maintenance Tasks: Manage the backflow program and maintain electronic filing systems.
  • Software Administration: Administer the start-up of new projects, work orders, and customers within project management software and HRIS systems.
Requirements:
  • Experience: Minimum 5-7 years in operations coordination and administrative roles required.
  • Education: University or College degree in business administration or operations management preferred.
  • Skills: Advanced proficiency in Microsoft Planner and other Microsoft Office applications required. Excellent communication and teamwork skills essential.
  • Industry Knowledge: Familiarity with construction industry principles, procedures, and best practices considered an asset.
