This is an exciting opportunity to join Hamilton Dental as a skilled Administrative Services Manager, responsible for co-ordinating administrative services and evaluating the operations of a department.

Job Summary

We are seeking an experienced professional to lead our administrative team, ensuring seamless day-to-day operations and delivering exceptional results. As an Administrative Services Manager, you will be the key point of contact for staff, patients, and external stakeholders, providing guidance and support to achieve business objectives.

Key Responsibilities
  • Co-ordinate administrative services, including records management, security, finance, purchasing, human resources, and other administrative functions;
  • Evaluate the operations of a department, identifying areas for improvement and implementing changes to enhance efficiency and productivity;
  • Collect and record administrative and service fees, preparing reports and briefs for management committees;
  • Assist in preparing annual budgets, working closely with senior management to ensure financial targets are met;
  • Conduct research, staying up-to-date with industry trends and best practices to inform business decisions;
  • Plan, organize, direct, control, and evaluate daily operations, ensuring compliance with regulatory requirements and company policies;
  • Direct and advise staff engaged in providing administrative services, providing training and development opportunities to enhance their skills and knowledge;
  • Supervise office and volunteer staff, promoting a positive and inclusive work environment;
Requirements
  • Bachelor's degree or equivalent experience;
  • 2 years to less than 3 years of experience in a similar role;
  • Excellent oral and written communication skills, with the ability to communicate effectively with staff, patients, and external stakeholders;
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines;
  • Attention to detail, with a focus on accuracy and quality;
  • Ability to work independently and as part of a team, with a flexible approach to work assignments and priorities;
  • Knowledge of Microsoft Office applications, including Word, Excel, and Outlook;
  • Experience with patient management software and electronic medical records would be an asset.
