Purchasing Agent

This role involves researching prices and purchasing items needed by the hotel, while ensuring quality and timeliness. The Purchaser will communicate and negotiate with vendors to secure the best rates and discounts. Maintaining accurate records of orders, receipts, and inventory is crucial for this position.

Key Responsibilities:
  • Detail-Oriented - Maintain detailed logs and financial records of ordered, received, and stored items, ensuring controls, costs, and adequate supplies for each hotel department.
  • Inspector - Inspect deliveries to ensure compliance with order specifications and quality standards, accepting or refusing deliveries as necessary.
  • Service Star - Issue goods and supplies as needed, adhering to the Requisition SOP for timely and accurate delivery to departments.
  • Clean Guru - Maintain high sanitation standards for the storeroom, walk-ins, refrigerators, freezers, and loading dock area, ensuring compliance with health and safety regulations.
  • Safety & Security Agent - Follow hotel safety and security policies and procedures, as well as OSHA guidelines.
Requirements:
  • Minimum 2 years of purchasing experience with strong knowledge of kitchen operations, inventory management, and purchasing procedures.
  • College degree in accounting or finance preferred.
  • Valid ServeSafe and Food Handlers certificates required.
  • Previous supervisory experience preferred.
  • Effective communication skills and ability to make timely, informed decisions.
  • Ability to exert up to 100 pounds of force occasionally, up to 50 pounds frequently, and in excess of 20 pounds constantly.
  • Capability to stand or walk for extended periods, bend, stretch, twist, or reach, and work in variable temperatures and noise levels.
  • Physical stamina for long hours on your feet, handling heavy objects, and multitasking.
  • Ability to work indoors and outdoors, around chemicals or fumes, and use equipment such as computers, telephones, radios, pallet jacks, flatbeds, and hand trucks.
Duties & Functions:
  • Assist Executive Chef in purchasing food, beverage, and controllable items to ensure quality and profitability.
  • Develop means to improve purchasing process and financials.
  • Generate and provide accurate and timely results in the form of reports, presentations, etc.
  • Ensure compliance with all applicable laws and regulations.
  • Ensure inspection of all deliveries to verify accuracy and quality of product.
  • Ensure compliance with food handling and sanitation standards.
  • Implement and enforce control procedures for property goods entering through the purchasing/receiving areas.
  • Keep departments informed by confirming and clarifying purchase orders or contracts.
  • Work with kitchen and food and beverage service to plan upcoming events through 30/60/90 days forecast.
  • Maintain inventory controls for proper levels, dating, rotation, requisitions, etc.
  • Assist in inventory process as needed.
  • Utilize interpersonal and communication skills to lead, influence, and encourage others; advocate sound financial/business decision making; demonstrate honesty/integrity; lead by example.
  • Demonstrate knowledge of budgets, operating statements, and payroll progress reports as needed to maintain financial management of the department.
  • Achieve and exceed goals including performance goals, budget goals, team goals, etc.
  • Other duties as required.
