Job Summary

We are seeking a highly organized and detail-oriented individual to join our team as a Program Coordinator at Thompson Rivers University. The successful candidate will provide administrative support to the Faculty of Education and Social Work, ensuring the smooth operation of our programs.

Key Responsibilities
  • Administrative Support: Provide day-to-day administrative support to the faculty, including organizing workflow, determining priorities, and resolving problems.
  • Program Coordination: Coordinate and implement programs, services, and events for the Faculty of Education and Social Work, ensuring compliance with university policies and procedures.
  • Communication: Develop and maintain effective communication with students, faculty, staff, and external stakeholders, ensuring timely and accurate information exchange.
  • Record Management: Maintain accurate and up-to-date records, including student files, course records, and other relevant documents.
  • Technology Support: Provide technical support for various university systems, including Moodle, DCU, Banner, Argos, and SharePoint.
  • Event Planning: Plan and coordinate meetings, events, and conferences, including catering and logistics.
  • Financial Management: Assist with processing expenses, maintaining financial records, and generating web requisitions.
  • Database Management: Manage and maintain databases, including the Field Education Database and the IPT system.
  • Compliance: Ensure compliance with various institutional approval processes, including directed studies and other relevant procedures.
Qualifications
  • Education: Grade 12, plus six months post-secondary courses, including Advanced Word, Intermediate Excel, and Intermediate Access, or equivalent.
  • Experience: Two years related experience, including one year of electronic data entry and word processing, and six months of assisting with report preparation and coordination of site visits.
  • Skills: Advanced level in Microsoft Word, Intermediate level in Excel, and working with databases; ability to perform electronic word processing at 60 wpm and data entry; proven ability to take and transcribe minutes and correspondence at 70 verbal wpm; ability to set up and use various types of video and audio conference systems; experience in using Moodle, DCU, Banner, Argos, SharePoint, and other university information management systems.
Working Conditions
  • Sitting and Computer Work: Sitting at a desk at a computer and on the phone for long periods of time.
  • General Office Conditions: Working in a general office environment with moderate noise levels and occasional interruptions.
