Project Coordinator Job Description

We are seeking a highly organized and detail-oriented Project Coordinator to join our team at TalentSphere Staffing Solutions. As a Project Coordinator, you will play a crucial role in supporting our project managers and ensuring the smooth execution of construction projects.

Key Responsibilities:
  • Coordinate and oversee all aspects of document control, including contracts, specifications, budgets, POs, and change orders.
  • Develop and manage project schedules, track costs, and submit and acquire permits.
  • Communicate effectively between the office and site teams, lead and coordinate smaller projects, and monitor costs.
  • Assist in tendering, negotiating, and preparing subcontracts and purchase orders.
  • Monitor and process plans, specifications, shop drawings, and other submittals.
  • Review, action, and respond to daily project correspondence.
  • Receipt, log, and distribute drawings, specifications, shop drawings, schedules, contemplated change orders, change orders, site instructions, consultant reports, concrete tests, and materials tests.
  • Assist project managers in receiving information from site concerning material shortages, identifying specific items, ordering, and expediting replacement materials.
  • Approve supplier material and subcontractor invoices as required.
  • Ensure project binders and cloud filing systems are organized.
  • Prepare and maintain concrete logs as required.
  • Assist in monthly cost forecasting.
  • Attend and prepare meeting minutes for bi-weekly subcontractor meetings.
  • Prepare, monitor, update, and track project construction schedules.
  • Identify, log, provide proper notice for, and prepare and price costs and potential delay claims.
  • Receipt, distribute, and timely price contemplated change orders.
  • Coordinate and obtain occupancy documentation and substantial completion certificates.
  • Carry out site inspections and other site-related duties.
  • Provide feedback of project review and historical data to the estimating department for postmortem meetings.
  • Document control and chronological photographic record of the entire project.
Requirements:
  • 2+ years of experience in residential or commercial project coordination supporting project managers.
  • A desire to learn the commercial construction industry if you only have residential experience.
  • Excellent English oral and written communication skills.
  • First-class communication, interpersonal, and presentation skills.
  • A professional, hardworking, and willing attitude.
  • You must be an ambitious project coordinator - somebody who is wanting and willing to expand their skill set and eventually become a project manager.
  • A degree or diploma in a construction-related field (ideal).
  • PMP designation or working towards (ideal).
  • Familiarity with construction methods and building codes.
  • Proficient in MS Project, Word, Excel, and Visio.
  • A driver's license.
  • Able to work in a team environment and independently when required.
