Office Administrator/Front Desk

We are seeking a highly organized and detail-oriented Office Administrator/Front Desk professional to join our team at a private clinic specializing in physiotherapy, chiropractic, and massage therapy.

Key Responsibilities:
  • Manage and oversee all administrative tasks, including scheduling, record-keeping, and correspondence with patients, practitioners, and various organizations.
  • Greet patients warmly and assist with intake forms and documentation while directing inquiries to appropriate team members.
  • Manage the appointment calendar and coordinate schedules with therapists.
  • Process payments, issue receipts, assist with insurance claims, billing inquiries, and follow up on outstanding payments.
  • Monitor and restock supplies, ensuring inventory is tracked and maintained.
  • Maintain accurate patient records in the EHR system while ensuring patient confidentiality.
  • Distribute promotional materials, assist with social media updates, community events, and collect patient feedback.
  • Operate and troubleshoot office equipment and report any IT issues.
  • Answer and direct phone calls, maintain a tidy reception & clinical area, and perform clerical tasks.
  • Initiate documentation based on specific programs such as WSIB, MVA, and VAC. Ensure accurate and timely completion of required paperwork.
  • Address patient needs promptly and ensure a comfortable patient experience.
Requirements:
  • 4+ years working in an office environment (in Administration or Senior role in reception)
  • Excellent customer service skills
  • Intermediate/Advanced with MS Office and quick to learn new software
  • Professional
  • Multitasker
  • Works well under pressure
  • Previous experience working in a medical clinic or health industry is a huge plus
