Administrative Support Specialist

Job Summary
The Administrative Assistant plays a vital role in supporting the Community Health site. Reporting directly to the Site Lead, this position is responsible for providing administrative services, including reception duties, general office tasks, and records maintenance.
This role requires the ability to exercise initiative and independent judgment in determining work priorities and methods. The successful candidate will be a team player with strong interpersonal and organizational skills, able to work effectively in a fast-paced environment.
Key Responsibilities:
- Provide administrative support to the Site Lead and other team members
- Manage reception services, including answering phones and responding to emails
- Maintain accurate and up-to-date records and files
- Perform general office duties, such as data entry and document preparation
- Assist with special projects and events as required
Requirements:
- Administrative Secretary course or equivalent combination of education and experience
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
- Minimum of two years related experience
- Experience maintaining records, data entry, and compiling statistics
- Effective oral and written communication skills, including a courteous telephone manner
- Strong interpersonal and organizational skills
- Ability to work independently and with minimum supervision
- Knowledge of PHIA, privacy laws, regulations, and standard procedures
- Ability to respect and promote a culturally diverse population
- Ability to meet the physical and mental demands of the job
- Ability to respect confidentiality, including paper, electronic formats, and other mediums
- Good work and attendance record
Conditions of Employment:
- Completes and maintains a satisfactory Criminal Record Check, Vulnerable Sector Search, Adult Abuse Registry Check, and Child Abuse Registry Check, as appropriate
- All Health Care workers are required to be immunized as a condition of employment in accordance with Southern Health-Santé Sud policy
- Requires a valid Class 5 driver's license, an all-purpose insured vehicle, and liability insurance of at least $1,000,000.00
