Job Description

We are seeking a highly organized and detail-driven Administrative Assistant to join our growing real estate business. As an Administrative Assistant, you will play a pivotal role in ensuring the smooth operation of our office and the success of our real estate ventures.

You will act as the face of our business, fostering and maintaining positive relationships with our clients, vendors, and stakeholders. This role requires someone who is resourceful, proactive, and committed to providing exceptional administrative support while thriving in a dynamic, fast-paced environment.

Key Responsibilities:
  • Manage social media accounts across multiple platforms to enhance our online presence and engage with potential clients.
  • Nurture potential clients by sending email newsletters and making ongoing outreach efforts.
  • Lead generation through reaching out to potential customers on social media and qualifying them.
  • Oversight of day-to-day office operations, including managing office supplies, handling incoming/outgoing mail, and maintaining a clean and organized workspace.
  • Assist in acquiring potential properties, conducting research, and coordinating with property owners and stakeholders.
  • Schedule appointments, coordinate meetings, and manage calendars for efficient time management.
  • Oversee the creation, posting, and updating of property listings across various platforms, including MLS and social media.
  • Prepare marketing materials such as brochures, flyers, and digital content to promote listings and enhance branding efforts.
  • Maintain accurate filing systems (both digital and physical) and ensure compliance with legal and organizational standards.
  • Provide exceptional customer service by responding to inquiries, handling client communications, and addressing concerns promptly.
Qualifications:
  • High school diploma or equivalent; additional qualifications in business administration or a related field are a plus.
  • Proven experience in administrative support, preferably in real estate or property management.
  • Strong organizational and time management skills with the ability to prioritize and multitask effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with CRM or property management software.
  • Ability to work independently, exercise discretion, and maintain confidentiality.
  • Creative problem-solving skills and a proactive approach to challenges.
About Our Offer:

We offer a competitive salary of approximately $45,000 - $60,000 per year, depending on your level of experience and qualifications. You will be part of a collaborative and supportive work environment that encourages growth and professional development.
