Job Title: Administration/Program Support

Job Summary: We are seeking a highly organized and detail-oriented individual to join our team as an Administration/Program Support staff member. In this role, you will provide administrative and reception support to our multi-service programs, ensuring a welcoming and efficient experience for our service users.

Key Responsibilities:

  1. Service User Support: Greet and screen visitors, providing them with information and directing them to appropriate resources. Respond to inquiries and arrange intake appointments as needed.
  2. Administrative Support: Utilize research tools to identify resources and programming options. Record and distribute messages for staff members, maintain housing vacancy lists, and coordinate procurement activities.
  3. Case Management/Documentation: Maintain accurate case notes and documentation related to support and services. Handle documentation and filing for programs.
  4. Community Referrals: Collaborate with in-house services and programs for coordination. Make referrals to community agencies as appropriate.

Requirements:

  1. Post-secondary college education preferred, with related experience.
  2. Acts professionally, maintaining trust and confidentiality.
  3. Knowledge of office practices and equipment.
  4. Experience working with marginalized and diverse populations.
  5. Strong communication, problem-solving, and non-judgmental skills.
  6. Knowledge of social services and community resources.
  7. Familiarity with Microsoft Office 365 and cloud-based phone systems.
  8. Ability to maintain filing systems and databases, with meticulous record maintenance.
  9. Strong telephone etiquette and interpersonal skills.

Working Conditions: Possible exposure to infectious waste and diseases. May require travel and work at different JHS Durham locations. Physical activity including sitting, walking, and standing. May require lifting up to 35 lbs.
