About the Role

We are seeking a highly organized and detail-oriented Office Administrator to join our team in Kelowna. As a key member of our operations team, you will play a vital role in ensuring the smooth execution of our service cycle.

Key Responsibilities

  • Schedule and dispatch field service technicians in a timely manner.
  • Accurately process work orders and follow up with customers to ensure timely payment.
  • Ensure that amounts billed to customers are accurate and follow up with customers to collect payment.
  • Open and close work orders in a timely manner, including sourcing materials and equipment.
  • Distribute necessary paperwork to technicians, the parts department, and warehouse personnel.
  • Communicate with technicians to gather required information before and during service calls.
  • Review work orders and claims to ensure prompt payment.
  • Review technician time to ensure accuracy and submit to payroll in a timely manner.
  • Prepare work orders for final review by the Branch Office Supervisor, ensuring accuracy and highlighting potential discrepancies.
  • Process warranty work orders in accordance with company and manufacturer guidelines.

Requirements

  • 3-5 years of experience in scheduling and dispatching field service.
  • Proficient in Microsoft Office Suite.
  • Strong organizational skills, attention to detail, and ability to work in a team environment.
  • Strong English language skills.
  • Valid Driver's License and vehicle.
