About the Role

We are seeking a highly skilled and experienced Senior Administrator to join our Deposit Operations team at EQ Bank | Equitable Bank. As a key member of our team, you will be responsible for providing support to the Manager, Deposit Operations and assisting with the day-to-day management of the administrative team.

Key Responsibilities
  • Administration and Management
    • Assist the Manager with monitoring productivity for volume and client turnaround time to ensure outstanding customer service.
    • Assist with the continued education and training of existing staff, raise and document issues as they arise.
    • Assist the Manager with the preparation of various analytics and reporting.
    • Participate in quality assurance review of staff members' work during high volume times.
    • Assist the Manager/Associate Manager to ensure all time-sensitive processes are completed as scheduled.
    • Authorize cheque and electronic payments within delegated limits.
    • Engage with department staff on a regular basis and provide leadership, guidance, and motivation, maintaining a strong department rapport/morale and a positive work environment.
  • Customer Service and Quality Assurance
    • Demonstrate a strong commitment to outstanding customer service levels with an awareness of timelines and process commitments being met.
    • Play a key role in handling, responding to, or reporting any complaints received.
    • Ongoing review of existing processes and controls to identify areas of improvement and recommend solutions to the Manager.
    • Answer a diverse range of incoming inquiries and provide one-on-one guidance pertaining to financial and trust products, including providing information, administration instructions, product legislation, and regulatory/compliance requirements.
  • Reporting and Reconciliation
    • Assist with the preparation of year-end tax filings and submission to the Canada Revenue Agency.
    • Assist with or share responsibility for the daily reconciliation of various accounts.
    • Assist with or share responsibility with the Manager for government reporting.
  • Compliance & Audit Support
    • Assist in ensuring all work processed complies with established policy and procedures, including Anti-Money Laundering (AML), CDIC, Privacy, and pension and registered plan regulations.
    • Review the daily overnight audit reports for client name changes, rate differentials, registration changes, pad/cheque payment verification, etc.
    • Assist with various department internal and external audits.
  • Technical
    • Participate and support testing for internal banking system upgrades/releases.
    • Recommend system enhancements to the operations group.
Requirements
  • Minimum 5 years of experience in the deposit industry.
  • Post-secondary education.
  • Strong leadership and commitment to outstanding customer service.
  • Sound knowledge of the deposit services industry, our internal banking platforms, and other transactional systems.
  • Ability to motivate and engage people in a rapid growth environment.
  • Robust problem-solving and process improvement abilities.
  • Strong attention to detail.
  • Strong knowledge of regulations affecting the business, such as but not limited to Privacy (PIPEDA), Deposit Type Instruments Regulations (DTIR), CDIC, CRA reporting, FCAC complaint handling, pension and registered plan regulations, and legislative compliance.
  • Strong oral and written communication skills.
  • Ability to work independently or within group or team environments.
  • Very strong organizational and time management skills, able to manage deadlines, be detail-driven, and have the ability to multitask.
  • Proficiency with MS Office (specifically Word & Excel).
  • Proven ability to thrive in a constantly changing environment and to perform well in a high-volume, high-intensity environment.
