About the Role

We are seeking a highly organized and detail-oriented Support Services Coordinator to join our team at Medusa Shisha Bar and Lounge.

Key Responsibilities
  • Co-ordinate seminars, conferences, and other events ensuring seamless execution.
  • Manage incoming and outgoing mail, as well as other materials, maintaining a professional and efficient workflow.
  • Prepare minutes of meetings, seminars, and conferences with accuracy and attention to detail.
  • Determine and establish office procedures and routines for optimal productivity.
  • Schedule appointments and confirm them with all parties involved.
  • Answer telephone calls, relay messages, and handle electronic enquiries in a timely and courteous manner.
  • Compile data, statistics, and other information to support decision-making and strategic planning.
  • Maintain inventory levels of office supplies and order new stock as needed.
  • Arrange travel itineraries and make reservations for employees or clients when required.
  • Greet visitors and direct them to relevant contacts or service areas.
  • Establish and maintain accurate manual and digital filing systems to ensure quick access to important documents.
  • Type and proofread correspondence, forms, and other documents to ensure precision and professionalism.
  • Perform data entry tasks efficiently and accurately.
  • Provide exceptional customer service to internal and external stakeholders.
  • Maintain and manage our digital database to ensure up-to-date information.
What We Offer

This is a permanent position working 32 hours per week. The successful candidate will receive a competitive salary of $45,000 - $55,000 annually, commensurate with experience.
