Job Summary: We are seeking an experienced Administrative Assistant to join our team at Rainbook Canada Inc. The successful candidate will be responsible for providing administrative support to our team members, ensuring the smooth operation of our office.

Key Responsibilities:

  • Coordinate the flow of information within the team to ensure efficient communication and task completion.
  • Manage and distribute mail and other materials, maintaining a well-organized workspace.
  • Record and prepare minutes of meetings, seminars, and conferences, highlighting key takeaways and action items.
  • Determine and establish office procedures and routines to optimize productivity and workflow.
  • Schedule and confirm appointments, ensuring timely and effective communication with clients and stakeholders.
  • Answer telephone calls and relay messages, providing exceptional customer service and support.
  • Respond to electronic enquiries, addressing client and team member queries in a timely and professional manner.
  • Order office supplies and maintain inventory, ensuring a well-stocked and efficient workspace.
  • Arrange travel, itineraries, and make reservations, coordinating logistics for team members and clients.
  • Greet visitors and direct them to contacts or service areas, providing a warm and welcoming experience.
  • Set up and maintain manual and computerized information filing systems, ensuring accurate and up-to-date records.
  • Type and proofread correspondence, forms, and other documents, ensuring error-free and professional communication.

Requirements:

  • Secondary (high) school graduation certificate.
  • 7 months to less than 1 year of experience in an administrative role.

Work Environment:

  • Permanent position.
  • English language required.
  • 30 to 40 hours per week.
