Overview

The University of Victoria seeks an experienced Executive Support Coordinator to provide high-level administrative support to the Director of Faculty Development and the Alumni & Development Administration Manager. As a key member of the Development team, you will play a vital role in ensuring the efficient operation and cohesiveness of the major gifts fundraising program.

Salary: $60,000 - $70,000 per annum, depending on experience

About the Role

This is a unique opportunity to join the University of Victoria's Advancement team and contribute to the success of our fundraising initiatives. The successful candidate will have excellent organizational skills, be highly detail-oriented, and possess the ability to work effectively in a fast-paced environment.

Key Responsibilities:

  • Provide advanced administrative support to the Director of Faculty Development and the Alumni & Development Administration Manager;
  • Coordinate and manage special projects as required by the Director of Faculty Development and the AVPAD;
  • Develop and maintain reports, lists, charts, graphs, and advanced Excel spreadsheets using Microsoft Suite;
  • Liaise with Development Officers, Deans, Directors, alumni, major donors, volunteers, and senior UVic executives on matters relating to development;
  • Ensure confidentiality and discretion when handling sensitive information.

Required Skills and Qualifications:

  • Secondary school graduation or equivalent and some related post-secondary course work;
  • A minimum of three (3) years of recent experience in a similar position;
  • Advanced proficiency with computer applications including MS Office Suite, Adobe Create Suite, and content management systems;
  • Excellent problem-solving and strategic thinking skills;
  • Ability to exercise independent judgment and tact in handling executive office duties;
  • Ability to recognize and manage conflicts of interest and maintain confidentiality.
