Position Overview:

The Clinical Administrative Coordinator plays a vital role in managing the workflow of office operations and executing a diverse range of administrative and secretarial tasks within a healthcare environment.

Key Responsibilities:

  • Organize, oversee, and maintain physician on-call schedules, procedural timelines, clinic appointments, and medical staff rounds.
  • Draft various documents such as correspondence, reports, and meeting summaries.
  • Arrange patient medical appointments and necessary procedures.
  • Manage calendars, coordinate meetings, reserve rooms, and handle travel logistics.
  • Address scheduling conflicts, complaints, and calendar discrepancies.
  • Utilize transcription equipment to convert various documents and reports, including meeting minutes, patient records, medical reports, and manuscripts.
  • Monitor financial budgets and reconcile accounts, completing necessary financial documentation including travel expense reports, electronic requisitions, purchase orders, and journal entries.
  • Process and reconcile clinical and third-party service billing statements.
  • Welcome visitors, manage general inquiries in person, over the phone, and via email, and respond independently to specific inquiries requiring in-depth knowledge of established policies and procedures.
  • Engage with patients and their families who may be facing emotional or challenging circumstances.
  • Ensure patients comprehend all instructions provided for tests and medical procedures.
  • Collect and compile information needed for various grant applications and reports.
  • Facilitate the gathering of signatures required for grant applications and agreements.
  • Conduct database, literature, and web searches to locate and retrieve necessary documents and articles.
  • Prepare and organize examination rooms, ensuring all materials are adequately stocked and arranged.
  • Establish and maintain both electronic and physical filing systems.
  • Update and manage information across various databases.
  • Maintain confidential files and records, handling sensitive information in accordance with established protocols.
  • File, retrieve, and dispose of files as necessary.
  • Monitor and procure office supplies as needed.
  • Attend meetings and document minutes accordingly.
  • Assemble, organize, and distribute mailings.
  • Open and manage incoming mail and faxes, as well as coordinate courier services.
  • Stay informed about relevant medical terminology.

Qualifications:

  • Completion of a 2-year Community College diploma in Medical Office Administration or a related discipline.
  • A minimum of 3 years of relevant experience is required.
