Position Overview:

The Medical Secretary I plays a crucial role in managing a variety of administrative and clerical tasks within a healthcare environment.

Key Responsibilities:

  • Schedule and manage patient appointments and medical procedures efficiently.
  • Organize calendars, coordinate meetings, reserve rooms, and arrange travel logistics.
  • Address and resolve scheduling conflicts, complaints, and calendar issues.
  • Utilize dictation equipment to transcribe various documents and reports, including patient records and medical reports.
  • Draft formal notes and records, such as meeting minutes.
  • Monitor financial budgets and reconcile accounts, completing necessary financial documentation.
  • Process and manage clinical billing and third-party service invoices.
  • Welcome visitors and handle general inquiries in person, over the phone, and via email, responding to specific questions with a thorough understanding of established protocols.
  • Engage with patients and their families, particularly in sensitive situations.
  • Ensure patients comprehend all instructions related to tests and medical procedures.
  • Compile and gather information for grant submissions and reports.
  • Facilitate the collection of necessary signatures for grant applications and agreements.
  • Conduct research through databases, literature, and online resources to retrieve documents and articles.
  • Prepare and organize examination rooms, ensuring all materials are adequately stocked and arranged.
  • Establish and maintain both electronic and physical filing systems.
  • Update and manage information across various databases.
  • Maintain confidentiality in handling sensitive files and records.
  • Organize and distribute incoming mail and faxes, as well as coordinate courier services.

Qualifications:

A diploma in Medical Office Administration or a related field from a recognized community college is required.

A minimum of two years of relevant experience in a medical setting is essential.

Additional Skills:

  • Proficiency in OSCAR software.
  • Experience in managing clinical supplies and equipment.
  • Ability to triage calls effectively.
  • Skills in scanning medical documents.
  • Experience in processing uninsured payments.

The ideal candidate will possess:

  • At least two years of experience in a medical clinic, preferably in family medicine.
  • Medical Terminology Certificates 1 and 2 or equivalent knowledge.
  • Strong customer service skills.
  • Familiarity with clinical instruments and supplies relevant to family medicine.
  • Competence in computer usage with a typing speed of 50 words per minute.
  • Prior experience in phone triage and scheduling for multiple healthcare providers.
  • Effective communication, organizational, and interpersonal skills within a team environment.
  • Capability to lift and manage supplies weighing up to 25 pounds.
  • An understanding of the confidential nature of the role.
