Your Opportunity

The Project Coordinator plays a supporting role to the Project Manager, assisting in gathering, distributing, and organizing information related to estimating, project setup, proposal submissions, reporting, safety, profitability, and costing. This role involves internal-facing tasks and contributing to the project team.

A Day in the Life

Safety

  • Adhere to all Secure Energy safety policies and procedures
  • Coordinate and communicate effectively with the Safety Department
  • Aid in project documentation filing and preparation
  • Participate, arrange, lead, and engage in Safety meetings

Estimating and Bidding

  • Assist in the preparation of parametric estimates in Hard Dollar and observe the bidding process
  • Read tender/contract documents to gain knowledge of scope of work and specifications
  • Conduct take-offs from drawings/blueprints and incorporate into Hard Dollar
  • Work with Procurement to obtain 3rd-party quotes as required and incorporate them into Hard Dollar
  • Collaborate with internal groups, such as Legal, Credit, Finance, and EHS, to ensure projects are bid and set up in accordance with Secure Energy's policies and procedures

Scheduling and Planning

  • Observe, assist, and seek understanding in scheduling and planning activities
  • Perform critical administrative functions, including documentation of daily site activities, creation of start-up sheets, and supervisor's folders using Microsoft Project
  • Make regular site visits to better understand the scope of work, if not already stationed on site
  • Site supervise and work with onsite personnel as required

Reporting and Cost Tracking

  • Assist with the administration of Fieldsafe and Kronos for project cost and employee tracking
  • Assist with daily reviewing and entry of daily time sheets in Fieldsafe
  • Assist with daily, weekly, and monthly labor, equipment, material, and sub-trade costs and reviews through Fieldsafe with the Project Manager on a regular basis
  • Assist with preparing progress invoicing and progress status reports
  • Assist with administrative project closure tasks at the end of the project
  • Prepare and maintain onsite project tracking binders
  • Complete project setup from information provided by the Project Manager and team, ensuring all project attributes and variables have been properly input into internal computer programs in accordance with contract requirements
  • Daily entry of project costing and tracking, including labor hours, equipment hours, and third-party costs
  • Assist the project team with entering project visa expenses, scanning receipts, and ensuring each expense entry maps correctly to the project cost module for cost tracking
  • Complete project uploaders, ensuring costs are reconciled

Risk

  • Assist in the identification of risk based on contracts and site-specific conditions
  • Assist with the preparation and communication of risk mitigation strategies
  • Assist in risk identification of 3rd-party contractors using ISNetworld

Requirements

The successful candidate will possess the following attributes:

  • Recent college diploma or degree, preferably in an Environmental program or Engineering
  • 0-2 years discipline-related experience
  • Strong computer skills with proficiency working with Microsoft Office suite
  • Lead by example and commit to positively lead and influence the Secure Energy Safety Culture
  • Ability to work with multiple Project Managers/Coordinators on multiple contracts simultaneously
  • Thriving in a multi-discipline environment that changes quickly and requires accurate attention to details and solid commitment to follow through on tasks without direction
