Position Overview

The Continuing Professional Development and Medical Education (CPDME) unit is dedicated to delivering both accredited and non-accredited continuing education opportunities. Our mission is to enhance medical education research and promote evidence-based learning that elevates the standards of medical education and clinical practice for healthcare professionals.

Reporting Structure

This role reports directly to the Managing Director of CPDME and collaborates closely with program managers and faculty directors. The Program Coordinator is expected to be exceptionally organized and proactive, ensuring the effective execution of vital educational and research projects, which include large conferences, online learning modules, workshops, and community outreach initiatives.

Key Responsibilities

  • Provide comprehensive administrative support for educational initiatives, including conferences, online courses, workshops, and community outreach, with minimal oversight.
  • Assist in event logistics, including scheduling, coordination, and communication to guarantee timely execution of all event-related responsibilities.
  • Update the CPDME Conferences web page as necessary, including managing conference listings and posting approved speaker presentations. Independently liaise with various stakeholders and speakers for large conferences and workshops, handling invitations, travel arrangements, and special requests.
  • Oversee online registration processes using the Kinetic Software database, which includes designing registration web pages, managing attendee communications, and processing regular deposits. Manage on-site registration, troubleshoot logistical issues, welcome speakers and participants, and address inquiries.
  • Conduct post-event tasks, including processing payments for honoraria and travel expenses, reviewing venue costs, reconciling registrations and revenue, preparing financial summaries, creating evaluation surveys using Opinio software, maintaining participant data, and compiling feedback reports.
  • Administer online courses via BrightSpace, which includes content management, user support, technical troubleshooting, maintaining a calendar of faculty development events, and disseminating advertisements and notices through various channels.

Work Environment

The successful candidate will have the opportunity for hybrid work arrangements, combining in-person responsibilities on campus with remote work, as mutually agreed upon based on operational needs and institutional guidelines.

On-site presence at event venues, along with flexibility in working hours, including potential overtime and weekends, is required. Compensation and scheduling will comply with the collective agreement.

Qualifications

  • A completed business or office administration program, coupled with a minimum of four years of relevant experience in a healthcare or educational environment (or an equivalent combination of education and experience).
  • Proficiency in the MS Office Suite (Word, Excel, PowerPoint, Outlook, MS Teams) is essential, along with a demonstrated ability to learn new software applications.
  • Exemplary oral and written communication skills, paired with strong interpersonal abilities.
  • Capability to manage multiple tasks and deadlines with accuracy, along with effective problem-solving and organizational skills.

Preferred Qualifications

  • Experience in event planning.
  • Familiarity with Kinetic Software, DalMedix, Opinio Online Survey application, and knowledge of BrightSpace are considered advantageous.
