Position Overview
The Continuing Professional Development and Medical Education (CPDME) unit is dedicated to providing both accredited and non-accredited educational opportunities aimed at enhancing the skills and knowledge of healthcare professionals. Our mission is to promote research in medical education and facilitate evidence-based learning to improve clinical care across the Maritimes.
Role Summary
Reporting directly to the Managing Director of CPDME, the Program Coordinator plays a pivotal role in ensuring the effective management of essential educational and research projects. This includes overseeing large conferences, online learning modules, workshops, and community outreach initiatives. The ideal candidate will exhibit exceptional organizational skills and a proactive approach to their responsibilities.
Key Responsibilities
- Provide comprehensive administrative support for various educational events, including conferences and workshops, with minimal oversight.
- Assist in the management of events by coordinating schedules, communications, and logistics to ensure all tasks are executed efficiently.
- Regularly update the CPDME Conferences web page, including managing conference listings and posting approved presentations. Independently liaise with multiple stakeholders and speakers, managing invitations and travel arrangements.
- Oversee the online registration process using Kinetic Software, which includes designing registration web pages, communicating with attendees, and managing financial transactions.
- Conduct post-event activities such as processing payments, reviewing venue costs, reconciling registrations, and preparing financial reports. Utilize Opinio software to create evaluation surveys and compile feedback.
- Administer online courses through BrightSpace, providing content management and user support, while maintaining a calendar of faculty development events.
Work Environment
The successful candidate will have the opportunity for a hybrid work arrangement, balancing on-campus and remote work based on operational needs. Flexibility in working hours, including potential overtime and weekend work, will be necessary.
Qualifications
- A completed business or office administration program, coupled with a minimum of four years of relevant experience in a healthcare or educational environment.
- Proficiency in the MS Office Suite (Word, Excel, PowerPoint, Outlook, MS Teams) is essential, along with the ability to quickly learn new software applications.
- Exceptional verbal and written communication skills, complemented by strong interpersonal abilities.
- Demonstrated capacity to manage multiple tasks and deadlines with accuracy, along with effective problem-solving and organizational skills.
Preferred Qualifications
- Experience in event planning and coordination.
- Familiarity with Kinetic Software, DalMedix, Opinio Online Survey application, and BrightSpace is advantageous.
