Job Title: Office Administrative Assistant

We are seeking a highly organized and detail-oriented Office Administrative Assistant to join our team at WARIS CONSTRUCTION LTD. The successful candidate will provide administrative support to our office operations, ensuring a smooth and efficient work environment.

Key Responsibilities:
  • Schedule and Confirm Appointments: Coordinate and schedule appointments, meetings, and events, ensuring timely and effective communication with stakeholders.
  • Answer Telephone and Relay Messages: Respond to incoming calls, relay messages, and provide excellent customer service to internal and external clients.
  • Electronic Enquiries: Respond to electronic inquiries, providing accurate and timely information to support business operations.
  • Greet and Direct Visitors: Welcome visitors, direct them to relevant contacts or service areas, and ensure a positive first impression of our organization.
  • Information Filing Systems: Set up, maintain, and update manual and computerized information filing systems, ensuring accurate and efficient record-keeping.
  • Data Entry: Perform data entry tasks, ensuring accuracy and attention to detail in maintaining our records.
  • Customer Service: Provide exceptional customer service, responding to inquiries, and resolving issues in a professional and timely manner.
  • Bookkeeping Tasks: Perform basic bookkeeping tasks, including data entry, invoicing, and reconciliations, to support our financial operations.
  • Office Operations: Assist in planning, organizing, directing, controlling, and evaluating daily office operations, ensuring a productive and efficient work environment.

  • Physical Accessibility: Ensure physical accessibility accommodations, such as ramps, elevators, and accessible parking, to support employees with disabilities.

  • Refugee Support: Assist with immediate settlement needs, including housing, transportation, and storage, to support refugees in their transition to Canada.
  • Language Training: Facilitate access to language training, skills training, and other resources to support the social and labour market integration of newcomers and refugees.
Support for Youth:
  • Youth Employment: Participate in government or community programs that support youth employment, providing on-the-job training, mentorship, and networking opportunities.
  • On-the-Job Training: Offer on-the-job training tailored to youth, providing hands-on experience and skills development.
Support for Veterans:
  • Veteran Support: Participate in government or community programs that support Veterans, providing mentorship, coaching, and networking opportunities.
  • Transition Support: Assist with immediate transition needs, including relocation, housing, and other support services, to help Veterans navigate their transition into the civilian workforce.
Support for Indigenous People:
  • Indigenous Support: Participate in government or community programs that support Indigenous people, providing mentorship, coaching, and networking opportunities.
  • Cultural Competency: Develop and maintain relationships with Indigenous communities, Indigenous-owned businesses, and organizations, promoting cultural competency and awareness.
Support for Mature Workers:
  • Mature Worker Support: Participate in government or community programs that support mature workers, providing mentorship, coaching, and networking opportunities.
  • Phased Retirement: Offer phased retirement options, allowing mature workers to gradually reduce their workload and transition into retirement.
Support for Visible Minorities:
