Position Overview

The Event Conversion Coordinator is tasked with overseeing event transitions, which includes planning, organizing, supervising, and executing all conversion activities. This role will also support the recruitment process and facilitate the training of new personnel. The successful candidate will collaborate closely with the Operations Manager and Event Manager/Event Coordinator on various projects. Strong interpersonal, technological, and communication skills are essential, along with the ability to thrive in a collaborative environment.

Key Responsibilities

  • Oversee event transitions, including planning, organizing, supervising, and executing all conversion tasks.
  • Assist in the hiring process and provide training to new team members.
  • Conduct maintenance of the rink.
  • Ensure cleanliness and upkeep of conversion equipment and related areas.
  • Support the Operations Manager and Event Manager/Event Coordinator with various projects.
  • Comply with all policies and procedures.
  • Execute all responsibilities safely, adhering to established facility protocols, health and safety regulations, and workplace safety policies.
  • Ensure compliance with the Occupational Health and Safety Act among staff.
  • Assist the Event Manager/Event Coordinator in all aspects of event management.
  • Maintain a detailed inventory of facility supplies and reorder as needed.
  • Monitor and assign tasks to team members.
  • Foster effective communication and collaboration with all departments.
  • Support the daily operations and maintenance of the arena and its systems, including HVAC, sound, lighting, fire safety, and communication systems.
  • Assist in the daily operation and maintenance of the arena ice surface and related systems, ensuring the ice is kept in optimal condition and managing the ice resurfacer.
  • Set up and troubleshoot in-house audio-visual equipment for smaller events.
  • Perform additional duties as assigned by the Director of Operations.

Qualifications

  • At least two years of experience in facility setups and transitions, including ice events, conventions, concerts, trade shows, and sporting events.
  • Proficient knowledge of operational equipment, including staging, audiovisual, lighting, rigging, and small tools.
  • Experience supervising and leading teams of up to 25 employees in setup, transition, and maintenance tasks.
  • Strong verbal and written communication skills.
  • Excellent organizational abilities, detail-oriented, with the capacity to manage multiple tasks.
  • Willingness to work flexible hours, including nights, weekends, and holidays.
  • Competence in using computers and learning various software applications.
  • Ability to walk for extended periods.
  • Valid driver's license required.
  • Possession of a valid BC Refrigeration Safety Awareness ticket and willingness to obtain an Ice Facility Operator ticket within one year of employment.
  • Must obtain a valid WHMIS ticket within three months of employment.
  • First Aid certification, including CPR and AED training, is required within three months of employment.
  • Valid forklift, fall arrest, and aerial boom tickets must be obtained within three months of employment.
  • Confined space ticket must be acquired within three months of employment.
  • Completion of a criminal record check is mandatory.
  • Valid crowd management certificate must be obtained within three months of employment.
  • Ability to use and instruct others in the use of power tools.
  • Capability to train and mentor casual staff.
  • Experience operating an ice resurfacer (Zamboni) and performing maintenance on the arena ice.
  • Familiarity with setting up audio-visual equipment and knowledge of clear com or XLR systems.
  • Experience in plumbing, electrical, and carpentry skills relevant to facility operations.
  • Must be able to work effectively as part of a team.

Work Environment:

  • The essential functions of this position are performed both indoors and outdoors, subject to the prevailing weather conditions. The noise level in the work environment is typically moderate to loud.
