Department Head Administrative Support

The University of Saskatchewan's Department of Plant Sciences seeks a highly organized and detail-oriented Administrative Assistant to provide comprehensive support to the Department Head.

This role is crucial in ensuring the smooth operation of the department by managing complex schedules, coordinating meetings, handling confidential information, and facilitating communication with faculty, staff, and external stakeholders.

Key Responsibilities:

  • Provide comprehensive administrative support to the Department Head, including scheduling appointments, arranging travel, and preparing correspondence.
  • Manage department communications, including email correspondence, phone calls, and meeting agendas.
  • Coordinate departmental events and activities, ensuring timely execution and adherence to budgets.
  • Maintain accurate records and files, both physical and electronic, ensuring confidentiality and accessibility.
  • Assist with grant proposals and research administration tasks as required.
  • Collaborate effectively with faculty, staff, and students to facilitate a positive and productive work environment.

Qualifications:

The ideal candidate will possess:

  • A minimum of 5 years of experience providing administrative support in a fast-paced environment.
  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong communication and interpersonal skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and electronic calendaring systems.
  • A commitment to accuracy, attention to detail, and confidentiality.
