About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to provide essential administrative and clerical support to the School for the Arts. Reporting to the ASG Manager, you will play a vital role in ensuring the smooth operation of the school.

Key Responsibilities:
  • Provide comprehensive reception and clerical duties, including responding to inquiries via phone, email, and in person.
  • Coordinate school-specific activities and projects, such as event logistics, student assistant support, and ticket management.
  • Assist with faculty processes, including salary reviews, CV updates, and collegial procedures (renewals, tenure, promotions, sabbaticals).
  • Support the school's faculty committee and coordinate recruitment efforts for new faculty members.
  • Manage internal databases, filing systems, and room bookings using 25Live.
  • Distribute mail and maintain the school's college directory listings.
  • Coordinate publicity efforts, including designing newsletters, managing social media posts, and maintaining the school's website.
  • Process financial transactions for the school and handle other administrative tasks as required.
Qualifications:

The ideal candidate will possess:

  • Proven experience providing administrative support in a fast-paced environment.
  • Exceptional organizational skills and the ability to manage multiple projects simultaneously.
  • Strong attention to detail and commitment to accuracy.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
