The Office Coordinator plays a crucial role in managing a variety of administrative tasks to support the operational efficiency of the organization. This position involves facilitating communication within the office, welcoming and assisting visitors, handling incoming calls, and organizing schedules. The Office Coordinator is expected to uphold a professional and positive representation of the company at all times. Proficiency in both French and English (written and verbal) is essential.
Primary Duties:
Welcome and assist guests upon their arrival. Address inquiries via telephone, email, and in-person from clients, partners, and other stakeholders. Manage incoming and outgoing mail, including priority deliveries, packages, and other correspondence, ensuring proper distribution. Direct inquiries to the appropriate departments or individuals within the organization. Take and relay messages for staff members as needed. Provide accurate information to visitors and callers. Assist various departments with tasks such as organizing meetings and events. Maintain and organize office records and files, including training documentation. Keep track of office expenses and maintain accurate records. Perform additional clerical duties such as filing, photocopying, and scanning. Help with the distribution and translation of internal communications and assist in compiling data for reports. Ensure the reception area is clean and presentable. Support company events and activities. Order and manage inventory of office supplies. Coordinate with cleaning staff and manage procurement of cleaning materials. Uphold office security by adhering to safety protocols. Participate in health and safety committees as required.Qualifications and Skills:
Excellent telephone etiquette and strong interpersonal abilities. Proficient written and verbal communication skills for interaction with all organizational levels. At least one year of experience in an administrative or customer service role. Bilingual in French and English (both written and spoken). High School Diploma or equivalent. Strong customer service focus. Proficient in Microsoft Office Suite, including Excel, Word, and PowerPoint. Exceptional typing skills with the ability to draft simple correspondence. Familiarity with general office procedures such as printing and scanning. Ability to maintain filing systems and basic databases. Capable of handling confidential information with care. Detail-oriented with strong record-keeping abilities. Maintain a professional demeanor and appearance at all times.What We Offer:
