Our Corporate Vendor Management office is seeking a Lead Vendor Performance Specialist to join our dynamic team. This role is pivotal in managing a diverse portfolio of vendors that support various business units across the organization, while establishing exemplary governance standards tailored to vendor performance. These positions are high-profile and essential for achieving our corporate goals.

Key Responsibilities:

  • Facilitate organizational cost control, enhance value for money, mitigate risks, and develop vendor management strategies to support business objectives.
  • Contribute to the creation and maintenance of a vendor management framework that fosters robust vendor and commercial relationships.
  • Assist in the formulation of divisional and departmental processes grounded in best practices, ensuring compliance with Metrolinx policies.
  • Engage in commercial vendor contract negotiations, providing insights on contract terms, project timelines, workforce needs, and schedules; oversee contract management.
  • Collaborate with key stakeholders to gather and develop business requirements for public procurement tenders.
  • Prepare scope documents, communication strategies, and contract awards under the guidance of senior management.
  • Identify and spearhead process enhancements utilizing methodologies such as LEAN.
  • Support business units in crafting annual procurement plans to establish a pipeline and devise strategic sourcing strategies for both new and existing vendors.
  • Aid in the development of strategic solutions for current and prospective vendors, addressing client challenges, resolving service issues, streamlining processes, and boosting departmental productivity.
  • Manage risk across contractual obligations, ensuring alignment with the vendor engagement strategy through regular reviews of Service Level Agreements (SLAs).
  • Participate in the assessment and analysis of contract documents to ensure the appropriate contracting strategy and clauses are applied, minimizing risk and safeguarding Metrolinx's interests.
  • Provide advisory support and oversight in vendor management; monitor key performance indicators to ensure alignment with business objectives.
  • Assist management in evaluating vendor performance and escalate issues to senior leadership as necessary.
  • Oversee performance management systems, including vendor issue resolution, change requests, and standardized processes that contribute to meeting SLAs, Operation Level Agreements (OLAs), and Key Performance Indicators (KPIs).
  • Maintain and enhance vendor management tools, including vendor tracking systems, performance scorecards, and dashboards.
  • Track and monitor vendor contract authority and expenditures against designated accounts.
  • Gather input from key stakeholders regarding needs, service delivery, and quality to ensure alignment with agreements and contracts.
  • Participate in discussions with clients, vendors, and stakeholders to address performance issues and develop actionable plans.
  • Develop and implement vendor KPIs, utilizing data processing, charts, and dashboards to effectively communicate insights to leadership.
  • Demonstrate strong business case development and research capabilities to create executive-level memorandums.
  • Administer vendor governance and compliance processes through regular documentation and adherence to continuous improvement methodologies.
  • Perform other duties as assigned.

Required Skills & Qualifications:

  • A university degree in a relevant field (e.g., Business Administration, Software Project Delivery, Vendor Management, Procurement, or Legal) or an equivalent combination of education, training, and experience.
  • Proven experience in leading diverse sourcing activities and managing commercial vendor relationships.
  • Demonstrated expertise in vendor management, including evaluating project tenders and reviewing consultant proposals; a solid understanding of contracting principles and practices to assess risks and provide procurement advice.
  • Strong negotiation skills to effectively mediate between multiple parties with varying perspectives.
  • Ability to create impactful PowerPoint presentations that clearly outline issues and recommended actions.
  • Client-focused mindset with the ability to influence a wide range of stakeholders in complex business environments.
  • Strong relationship management and influencing skills.
  • Capability to manage contracts across multiple vendors, ensuring comprehensive cross-referencing of terms, budgets, scopes, schedules, and dependencies.
  • Proficient in data processing using Excel.
  • Familiarity with ERP systems (e.g., Oracle iProcurement or EBS).
  • Understanding of business and strategic planning and service measurement methodologies.
  • Extensive experience in enhancing business process methodologies and tools.
  • Self-motivated individual capable of thriving in a fast-paced and evolving environment, with strong prioritization, writing, and communication skills.
  • Experience with public sector procurement processes, policies, and best practices is an asset.
