Position Overview:

We are currently seeking a highly skilled and experienced Senior Office Administrator to oversee our administrative functions. This full-time, in-person position is crucial for maintaining seamless operations and providing outstanding support to both clients and staff.

Key Responsibilities:

  • Administrative Oversight (50% of time):
  • Team Leadership: Direct and mentor a small team of administrative professionals, fostering their growth and ensuring effective performance.
  • Resource Management: Oversee office supplies and inventory, ensuring that all necessary materials are readily available and organized.
  • Facility Coordination: Act as the primary liaison for building maintenance, ensuring a safe and efficient working environment.
  • Reception Management: Supervise front desk operations, ensuring a welcoming atmosphere for clients and visitors while managing incoming communications with professionalism.
  • Financial Administration (50% of time):
  • Billing Management: Generate and dispatch invoices to clients, ensuring accuracy and timely follow-up on payments.
  • Expense Processing: Handle payments to vendors and service providers, maintaining compliance with internal financial policies.

Qualifications:

  • Experience: A minimum of 5 years in a similar administrative role, with a strong emphasis on financial management preferred.
  • Education: A background in business administration or a related field is advantageous.
  • Technical Skills: Proficient in MS Office Suite (Word, Excel, PowerPoint, Teams, etc.).
