Position Overview:
We are currently seeking a skilled and experienced Senior Office Administrator to enhance our operational efficiency. This full-time, in-person position is vital for managing our front desk and financial support operations. The successful candidate will play a crucial role in maintaining seamless daily operations, delivering excellent service to both clients and staff, and ensuring that financial processes run smoothly.
Key Responsibilities:
- Office Management (50% of time):
- Team Leadership: Oversee, mentor, and develop a team of 3-4 staff members in financial operations, providing guidance and fostering professional growth.
- Inventory Management: Ensure that office supplies are adequately stocked and organized to facilitate smooth operations.
- Facility Oversight: Coordinate with property management to maintain building operations and ensure a safe and functional work environment.
- Front Desk Supervision: Manage front desk activities, welcoming clients and visitors, and handling communications with professionalism.
- Financial Operations (50% of time):
- Accounts Receivable: Generate and dispatch invoices to clients, ensuring timely billing and follow-up on outstanding payments.
- Accounts Payable: Process payments to vendors and manage financial transactions in compliance with company policies.
Qualifications:
- Experience: A minimum of 5 years in a similar role, with a strong emphasis on financial operations and team management.
- Education: A background in business administration, finance, or a related field is preferred.
- Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint, Teams, etc.) is essential.
