Real Estate Administrative Assistant

As a key member of our team at Engineering Search Firm Inc, the Real Estate Administrative Assistant will play a vital role in supporting our real estate agents and ensuring the smooth operation of our office. This role is crucial in facilitating day-to-day administrative tasks and client communications to drive our success in the real estate market.

Responsibilities:
  • Schedule Management: Manage and maintain schedules, appointments, and travel arrangements for real estate agents.
  • Document Preparation: Assist with the preparation of real estate documents, including listing agreements, purchase contracts, and leases.
  • Client Communications: Handle incoming calls and other communications, managing correspondence with clients, and providing exceptional customer service.
  • Filing and Organization: Maintain an organized filing system for all real estate transactions and records.
  • Marketing Support: Support the marketing team in managing listings and posting property advertisements online.
  • Event Coordination: Coordinate open houses, viewings, and meetings between buyers, sellers, and agents.
  • Data Analysis: Assist in preparing comparative market analysis reports and other data support materials.
  • Transaction Management: Process and track transaction activities and paperwork to ensure compliance with relevant laws and regulations.
  • General Office Duties: Perform general office duties, such as ordering supplies and maintaining records management database systems.
Qualifications:
  • Experience: 1-2 years of experience working with a Real Estate Brokerage.
  • Education: High school diploma required; further education in Office Administration or related field preferred.
  • Administrative Experience: Proven administrative experience, ideally in the real estate industry or a similar field.
  • Real Estate Knowledge: Strong understanding of real estate operations and familiarity with real estate laws and terminology preferred.
  • Organizational Skills: Excellent organizational skills and attention to detail.
  • Communication Skills: Ability to multitask and prioritize daily workload.
  • Language Skills: Excellent communication skills, both verbal and written.
  • RECO Guidelines: Good understanding of RECO Guidelines in Ontario.
  • Technical Skills: Proficiency in MS Office, particularly Excel, Outlook, and Word; experience with real estate CRM platforms is a plus.
