Office Coordinator

We are seeking a dedicated Administrative Assistant to provide essential support within our transportation organization. This role is pivotal in ensuring smooth operations and effective communication across various departments.
Qualifications- Education: Completion of a college or CEGEP program, or a non-university diploma lasting 1 to 2 years.
- Experience: Previous experience is considered an asset.
The successful candidate will thrive in a transportation company setting, characterized by a dynamic and fast-paced atmosphere.
Key Responsibilities- Organize and coordinate seminars, conferences, and other events.
- Facilitate the flow of information within the team.
- Manage incoming mail and distribute materials accordingly.
- Provide training and guidance to staff members.
- Document and prepare minutes for meetings and conferences.
- Establish and maintain office procedures and routines.
- Schedule and confirm appointments efficiently.
- Handle telephone communications and relay messages.
- Respond to electronic inquiries promptly.
- Address employee questions and concerns.
- Order and manage office supplies and inventory.
- Coordinate travel arrangements and itineraries.
- Welcome visitors and direct them to appropriate contacts.
- Type and proofread various documents and correspondence.
This position involves overseeing a small team of approximately 3-4 individuals.
Technical SkillsProficiency in the following software is required:
- MS Excel
- MS Outlook
- MS PowerPoint
- MS Word
- Adobe Photoshop
The ideal candidate will possess the ability to:
- Work independently and manage a large workload.
- Thrive in a fast-paced environment with tight deadlines.
- Maintain attention to detail while performing repetitive tasks.
- Operate with minimal supervision.
