Key Responsibilities

  • Establishing and executing office protocols to ensure efficient daily operations
  • Overseeing procurement and management of office supplies, space allocation, and maintenance coordination
  • Providing front desk support, including greeting and directing visitors and clients
  • Delivering administrative and project assistance, such as invoicing, data management, client communication, and adherence to policies
  • Supporting proposal and report development, including formatting, compliance checks, electronic assembly, printing, and organization
  • Assisting in the planning and execution of company events
  • Coordinating internal and client meetings, including room reservations, audio/visual setup, catering arrangements, and minute-taking
  • Facilitating travel arrangements
  • Monitoring and maintaining office equipment and accessories
  • Onboarding and training new employees on office-specific and company-wide protocols
  • Ensuring general office maintenance and performing other administrative tasks as needed

Qualifications

  • A minimum of 5 years of experience in office or project administration is preferred
  • Exceptional organizational, interpersonal, and time management abilities
  • Strong proofreading and typing skills
  • Experience with project cost management and invoicing
  • High proficiency in Microsoft Office Suite, including Word, Excel, Teams/SharePoint, PowerPoint, Outlook, and Acrobat
  • Familiarity with EQuIS and Deltek Vantagepoint is advantageous
  • Experience in the environmental services sector is a plus
