Role Overview:

The Client Relations and Sales Specialist plays a crucial role in delivering outstanding customer service within our dynamic hearing clinics. In this position, you will ensure that client needs are addressed promptly, maintain an organized appointment calendar, and identify and seize sales opportunities within the clinic. You will collaborate closely with healthcare professionals and management while representing HearCanada in various community marketing efforts.

This is a full-time permanent position; standard working hours are Monday to Friday, 8:30 AM to 4:30 PM (some flexibility may be required for special appointments or events).

Key Responsibilities:

Client Engagement: Manage incoming and outgoing communications, respond to messages, conduct proactive follow-ups with clients, welcome walk-in clients, and collaborate with team members to enhance client satisfaction.Appointment Management: Oversee scheduling for healthcare providers by coordinating client appointments and managing calendar entries, including vacations and out-of-office activities.Client Documentation: Maintain accurate client records both digitally within the EMR system and physically in client files.Supply Management: Keep track of inventory and order clinical and office supplies as needed, ensuring to obtain necessary approvals for expenditures.Community Marketing: Engage in local marketing initiatives such as events and promotional activities aimed at increasing brand visibility in the community.Financial Transactions: Address client inquiries regarding payments, process insurance claims, and manage cash transactions.Clinic Maintenance: Ensure a clean and safe environment by sanitizing equipment and surfaces, creating a welcoming atmosphere for clients.Device Assistance: Support clients with hearing aids by performing basic maintenance and troubleshooting, working in conjunction with healthcare providers.Continuous Learning: Participate in ongoing training and development opportunities to stay informed about industry trends, product offerings, and best practices in client service.

Qualifications:

Completion of secondary education (or equivalent) is required; additional coursework or post-secondary education in relevant fields such as Healthcare or Business is advantageous.A minimum of 2 years of experience in a customer-facing administrative or retail role is essential; experience in a healthcare or high-traffic retail environment is preferred.Experience working with diverse populations, particularly in healthcare or with elderly clients, is a significant asset.Comfort with handling hearing devices is necessary; personal protective equipment will be provided.A valid driver's license and access to a vehicle is preferred for local marketing-related travel.A strong customer-focused mindset, with an understanding of how client satisfaction contributes to success in a retail clinic environment.Proficiency in technology and willingness to learn new software tools; experience with MS Office Suite is required.Excellent verbal and written communication skills.Strong organizational, multitasking, and time management abilities.
